Overview of this Role
The Project Manager – Learning Experience supports the delivery of high-quality, learner-centred digital education projects. The role sits at the intersection of project management, UX/UI, and learning design, working with learning designers, developers, and clients to plan, coordinate, and deliver engaging online learning experiences across a variety of learning management systems and digital environments.
A key requirement for this position is practical experience in either managing web-based projects, or background and experience working in a digital agency or publishing house, along with hands-on experience with UX/UI. This background is essential to ensure a deep understanding of the digital project lifecycle, client expectations, and agile collaboration practices.
This role is ideal for a capable and proactive project professional who enjoys working closely with clients, scheduling and coordinating with internal and external stakeholders, managing timelines and problem-solving. The Project Manager will be a technology-driven individual who can run, manage and support the design and implementation of engaging online learning experiences across a range of learning management systems and digital platforms with a particular focus on user journeys, interface usability, and consistent visual design.
Please note: This is a fixed-term, full time role based in Melbourne with required commitment for a 6 month period.
Key Responsibilities and Duties
1. Project Management & Delivery
Coordinate and deliver multiple concurrent learning design projects to schedule, scope, and budget.
Define project goals, timelines, and deliverables in collaboration with internal teams and clients.
Ensure UX and UI considerations are embedded from discovery through to delivery.
Manage risks, dependencies, and workflows to ensure smooth project execution, including managing design iterations, prototypes, and usability feedback loops.
Track progress, document key milestones, and communicate updates clearly to stakeholders.
Support post-delivery review and continuous improvement of project processes.
2. Client Engagement
Build and maintain trusted relationships with clients, acting as a reliable point of contact throughout project delivery.
Manage client expectations and strike the right balance with key internal and external stakeholders.
Communicate project plans, timelines, and progress updates effectively.
Schedule and coordinate tasks and actions with clients and internal stakeholders.
Anticipate client needs and work proactively to ensure satisfaction and smooth delivery.
Technology-driven midset
Use tools like Jira to manage projects and deliverables in real-time to ensure on-schedule progress which would then be utilised for senior management reporting. Expertise in Jira will hold immense value since we are a tech-focused and forward looking organisation.
4. Collaboration & Team Support
Work closely with learning designers, developers, and media specialists to ensure alignment between design, content, and technology.
Translate UX research, wireframes, and design specifications into clear tasks and timelines for the project team.
Foster clear communication and teamwork across distributed teams and time zones.
Contribute to a positive and collaborative project culture that values curiosity, creativity, and accountability.
5. Learning Experience Coordination
Support the design and development of engaging, learner-centred experiences within various learning management systems (e.g., Moodle, Canvas, Brightspace) and digital platforms, including reviewing page layouts, interaction patterns, and navigation flows for usability and accessibility.
Help ensure projects reflect best practices in accessibility, inclusivity, UX heuristics, and learning design.
Liaise with clients and subject matter experts to clarify requirements and maintain strong alignment between educational intent and delivery.
6. Commercial Awareness
Support the preparation of project budgets and proposals as required.
Track resourcing, hours, and project costs to ensure profitability and efficiency.
Identify and raise potential risks or opportunities for project improvement.
Skills and Qualifications
Industry know-how: Background working in a digital agency, digital products, web applications, website products, or in a publishing house will hold strong regard, especially where this included collaboration with UX/UI designers, front-end developers, or product teams.
Education: Bachelor’s degree in education, instructional design, digital media, project management, human–computer interaction (HCI), UX design, or a related field.
Project Management: Experience coordinating digital or learning projects, ideally within an education, creative, or professional services context, with exposure to UX/UI workflows (wireframing, prototyping, usability testing, or design handover).
Learning Design Literacy: Understanding of learning design principles and learner-centred design practices.
Communication: Excellent written and verbal communication skills; confident engaging with clients and internal teams.
Organisation: Strong attention to detail, time management, and prioritisation skills.
Problem Solving & Adaptability: High-level problem-solving skills with the ability to innovate and adapt to changing project demands, using a design thinking approach
Technology Savvy: Familiarity with digital education technologies in curriculum design, including learning management systems, digital platforms, audiovisual media, and interactive tools. Experience using design and collaboration tools (e.g., Figma, Adobe XD, Miro, or similar) to review interfaces, comment on designs, and manage UX-related feedback is also preferred.
Communication Skills: Excellent interpersonal and communication skills, with a talent for building effective working relationships across various levels. Ability to explain complex educational and project-related concepts in a clear, concise manner.
Team Orientation: Proven experience working effectively within a team environment to achieve outstanding results, utilizing online communication tools for effective collaboration.
